COMMITTEE MEETING MINUTES
MARY QUEEN CHURCH-RM 118
May 20, 2009


Welcome and Introduction:  Carla called the meeting to order at 7:06pm.  Those present:  Carla, Dorothea, Sam, Justin B. and his parents, Denise, Karen, Gregg, David, Tim, SPL, ASPL, Chris, Randy, Mark K., Mark, Jianjun, Melissa, and Kent
Previous Minutes:  No changes noted to the minutes.  Minutes approved by Committee.
Treasury Report:  Prior to the report, Denise presented emails from Westwood expressing their appreciation for the pine needle contributions.
Denise reported the Troop account as $9713.85 with $1092.08 of the amount in the Scout accounts.  She stated the Troop received an $800 donation from the Knights of Columbus for the Troop's assistance with the fish fry.  Denise noted Summer Camp fees paid and dues of Scouts who crossed over paid.  She stated Jason Y. utilized $111.66 from his Scout account for his Eagle project.  Motion made to approve the report.  Committee approved the report.
Eagle Project:  Justin B. presented his project of building an 11' x 7' flower box in a designated area at the Knights of Columbus Hall.  He needs to remove gravel from the site and distribute it to low areas of the parking lot.  The lumber for the project was donated and the Knights of Columbus will pay for the plants and soil.  Justin stated he is checking with landscape companies to see if one will donate the mulch/soil. The timbers will connect with deck screws.  He gave a list of supplies and safety needs. He will need 15- 20 helpers.  No date set at this time.  Mark recommended looking at the Troop calendar before scheduling a date.  Suggestions made:  check with the Knights of Columbus to see if only a trench in the gravel for the lumber needs removed and if the box is to have irrigation; schedule event for two days, with possible shifts for helpers to work as well as water breaks and lunch break.  Committee approved the project.
SPL Report:  SPL reported the Scouts played ball games at the last Troop meeting.  New Scouts' Troop attendance is good.  Scouts are building flags on Sunday. No Troop meeting on Memorial Day.  The next Troop meeting, the Scouts are bowling.  Troop elections moved to the start of the new school year.  The Troop will start meeting every other Monday during the summer.
Calendar/Activities:  May 24- build flags from 2-4pm
May 25- flag posting; $200 to split among Scouts who participate
June 6-7- Sailing trip; have two boats (need 3), going to Redfish Island
June 6- National Youth Leadership Training; full, unable to sign up a Scout from the Troop
June ?- practice hike for high adventure (Summer Camp); Gregg offered use of gear for any Scout needing supplies
July 5- 11- Summer Camp; David will check to see if Scouts still able to sign up for Camp; Mark reminded adults attending will need YPT and background checks
2010- Wood Badge Training; Mark stated the cost is around $225 per person.  He would like to send one or two adults to the training and asked if the Troop would pick up the cost.  Denise motioned the Troop pay for two persons to attend Wood Badge Training with amount not to exceed $250 per person.  Motion seconded.  Committee approved the motion.
Advancement:  Karen stated the Troop needs an updated version of Troopmaster.  She recommended the 3-year subscription ($69.95) with .net ($54.95).  Committee approved the purchase.
Equipment:  Tim stated he had the trailer wheels removed and checked.  The valves were leaking.  The brakes are fine.  The tires are now filled with nitrogen (note green on valve stems) - help keep tires inflated with trailer just sitting.
Action items from last meeting: 
Merit Badge Counselors:  Karen has four forms; three need adult applications
Pine needle clean up:  Done by Troop on June 5
Campouts:  Mark set dates for sailing (June 6-7) and Summer Camp (July 5-11)
Contests:  Denise purchased $90.58 in prizes including large chocolate bars and $5 gift cards for Sonic, TCBY, and Subway
Actions for next meeting:
Online calendar:  Carla needs to research
Activities:  Randy to check with Father Skip concerning monthly Troop activities for the Church
File cabinet:  Denise to clean it out
Volunteers:  Need parent volunteers for Committee Chair, Committee Secretary, Roundtable back-up, Training Coordinator, and OA representative
Summer Camp:  David to check to see if Scouts can still sign up; Parents attending need YPT training and background checks
Troopmaster:  Karen to purchase a new version
Other:  Mark suggested doing a different flag retirement ceremony.  Denise asked if it could occur in the fall.  Mark would like a nice ceremony, perhaps in someone's back yard with a fire pit.  He would also like to invite members of the City and the Knights of Columbus to participate.
Adjournment:  The next Committee meeting is August 19.  The meeting adjourned at 8:03 pm
