COMMITTEE MEETING MINUTES

October 15, 2008


Welcome and Introduction:  Randy, acting Chairperson in Carla's absence, called the meeting to order at 7:05 pm.  Committee welcomed Chris Yee to the meeting.  Those present:  Randy, Mark T., Denise, Karen, Dorothea, Mark K., Julie, and Mark
Previous Minutes:  Mark K. noted the minutes state "potholders needed purchased" when he had stated potholders had been purchased at the last campout.  Karen moved the minutes approved with the correction, Denise seconded the motion.  Committee approved amended minutes.
Treasury Report:  Denise reported $9969.91 in Troop account, which includes the Scout accounts at $2036.19.
She has started collecting Fall Camp fees.  Fees are $120/Scout until October 17 then $135/Scout.
The renewal fee of $59.95 is due on the calendar used by the Troop at Mychurchevents.  Denise noted that last year Carla considered changing to a different calendar.  Decision deferred to next month due to Carla's absence.
Dorothea moved the treasury report approved as stated, Mark seconded the motion.  Committee approved the report.
SPL Report:  not available
Activities/Calendar:  Mark stated First Aid merit badge taught in Troop meeting.  Fishing merit badge not complete, will complete it later, possibly next year.
October 17-19:  Campout at Double Lakes- bike riding.  Only one adult signed up for trip.  Chris volunteered to go as second adult.  Mark T. stated he would pull the trailer to and from the campout.
October 18:  ClineFest- would like Scouts to help clean up from 4 pm- 5:30pm
October 20: Court of Honor.  Karen made program for the event and passed it around to Committee to check for additions/changes.  ASPL is arranging for speakers.  Each Patrol assigned items to bring.  It was suggested an email be sent out to remind Scouts what to bring.
October 25:  Halloween party at Mary Queen.  Scouts to serve drinks.  Denise will check with John on what time the Scouts need to be at the Church
October 30:  Halloween in the Park- Scouts pick up trash
November:  Continue with First Aid merit badge and hold elections.  Also possible stencil words on painted curbs of Mary Queen parking lot.
November 3:  Start election process
November 10:  Flag posting at 6pm
November 17:  Troop elections
November 21-26:  Fall Camp at Camp K; merit badge selection on Council website
November 29:  Eagle project at Heritage Park Baptist; write letters and make care packages from 10am- 2pm
December 13:  Cleanup at Knights of Columbus
December 15:  White Elephant gift exchange party
January:  Campout at Huntsville State Park
January 17:  Pinewood Derby; service hours
Equipment:  Mark noted the box of tent stakes is missing; however, Gregg had purchased a box of stakes several months ago so the Troop still has tent stakes.  Mark K. stated only 13 tents, one missing.  Julie noted she brought one back at the last Troop meeting.  Mark said one of the reflectors was broken and it was replaced as well as a spare purchased.  Mark K. stated he would purchase a dry erase marker and eraser for the erase board in the Troop trailer so Scouts/adults could write what needed replaced or was missing on the board.
Advancements:  Karen noted, while entering information into Troopmaster,
the Patrols were not correct.  She moved the Scouts names around to match the leadership assignments.
Fundraising:  Julie stated popcorn money is due.  She asked for money to be collected when obtaining the order.
Other:  Mark stated the Boy Scout applications turned in recently were rejected because they were not on the new forms.
Need new Redbooks for the new Scouts as well as ten more for the Scouts that will cross over.
Mark asked if the Committee meeting could change from Wednesday to Thursday.  Committee agreed to change the day.
Randy talked about the recruiting day at Mary Queen.  He stated it was mainly for adults to sign up for the various ministries.  He said the Cub Scouts received a lot of interest at the Scouting booth.  Randy distributed a volunteer hour form for adults to keep track of hours and be recognized later by the Church.  Julie asked if a table could be set up after masses to recruit for Scouting.  Randy stated he would check into it.
Adjournment:  The next meeting is scheduled for November 18; place yet to be determined.  The meeting adjourned at 8:30pm.
