COMMITTEE MEETING MINUTES

December 17, 2008


Welcome and Introduction:  Carla called the meeting to order at 7:05pm.  Those present:  Carla, Mark, Sam, SPL, ASPL, Randy, Dorothea, Denise, Gregg, Karen, David, and Mary
Previous Minutes:  No changes noted to the minutes.  Committee approved the minutes as posted.
Treasury Report:  Prior to the report, Dorothea noted to Mark that the minutes from September show the Committee voting to defer $1000 to the Scouts for registration, not reducing the amount of the fee from $50 to $25.  Committee decided to clarify this to be a reduction in the Scout registration fee to $25 but maintaining the adult fee at $10.
Denise reported the Troop account at $9658.05 including the Scout accounts at $1804.19.
She stated popcorn sales earned $602 with $403 going to Council and the remainder going into the Scout accounts of those that participated.
The online calendar subscription was renewed.
Denise paid out $50.58 in postage for flag subscription renewal letters.
Committee approved the treasury report.
SPL Report:  SPL stated the Troop had the White Elephant party at the last meeting, but there was not much trading.  Elections to be held at the next Troop meeting.  ASPL reported Fall Camp went pretty good.  SPL stated two projects coming up December 20- Scouting for Food and decorating the Church.
Roundtable:  no report
Recharter:  Carla stated Recharter is due January 5.  Those that need to register can bring the registration form and money to her house or mail it to her.  Carla's address is posted in the Troop Roster on the Troop website.

Randy will verify the dates for the Pack events and check on the Church availability on Jan. 19.
Equipment:  Carla received an email from Father Skip about the theft of the Youth Ministry trailer and concern for the Troop trailer.  Discussion ensued as to how to prevent theft of the trailer.  Mark said he would talk to Mark K. about a boot or tongue lock for the trailer.  Carla will formulate a response to Father Skip's email.
Recruitment:  Mark stated he went to a recruitment night at Bales Elementary.  He recruited two boys for the Troop.  He noted nine Scouts cross over in March.
Advancement:  Karen is waiting for the information from Fall Camp.  David received it and will give her the information.  One Scout has received a BOR since the last meeting.
Fundraising:  Mark sent out renewal letters for flag subscriptions and received over 30 renewals.  Mark was unsure what to do with the commission money.  In the past, it went into the Scout's account who had obtained the subscription.  Since some of those Scouts are no longer with the Troop, where would the money go?  After discussion, Committee decided to put the money in a fund. The money would be distributed to the Scout accounts of Scouts that participated in setting up and taking down the flags.  Mark set up a Pay-Pal account for flag renewal.  The customer will pay an additional $2 when using Pay-Pal.  Mark is also asking each flag subscription member for an email address to send the renewal forms via email next year.  Mark is planning to expand the flag subscriptions to other neighborhoods.
Randy asked where the first aid supplies were from the first aid fundraiser.  Mark stated all supplies were used to fill the last order of first aid kits.
Dorothea asked Denise about brisket sales.  Denise will check with the Knights of Columbus to see if they are cooking briskets this year.
Adjournment:  The next meeting is January 20.  The meeting adjourned at 8:05 pm.
